Process automation for webshops: what, when and how

Process automation · Published: · 3 min read

Webshop automation hands repetitive back-office work such as invoicing and email to the system. Here is where to start and what to watch out for.

What is process automation in a webshop?

Process automation means that the system performs the repetitive, rule-based tasks of an online store with little or no human intervention. Examples include issuing an invoice after a successful payment, sending a confirmation email and updating stock levels.

In a small webshop these tasks do not seem like a burden. With only a few orders, someone can write invoices by hand. The problem starts when orders grow: manual work grows with them, and so do errors.

Why is automation good for a webshop?

  • It frees up time. Whatever the system handles, your team does not have to, leaving more time for products, marketing and customers.
  • It reduces errors. A rule runs the same way every time, does not get tired and does not mistype a tax number.
  • It speeds up service. Customers receive their confirmation and invoice immediately.
  • It handles peak periods. A sale or the Christmas season does not paralyse your administration.
  • It makes operations measurable. Processes are logged, so you can see where an order gets stuck.

Which processes should you start with?

The best candidates are tasks that repeat often, can be described by exact rules and take a lot of time. These four areas are a good starting point for almost any webshop:

1. Invoicing

An invoice can be issued automatically after a successful payment and sent to the customer by email. In Hungary, invoice data must also be reported to the tax authority's Online Invoice system, which invoicing software generally handles. It is therefore worth connecting your webshop directly to your invoicing system.

2. Receiving and answering emails

A large share of incoming emails are recurring questions: where is my parcel, how can I return an item, is a product in stock. An AI-based system sorts emails by topic and drafts replies. It also knows the order details, so it can give specific answers.

You do not have to hand everything over at once. A good start is for the system only to suggest replies that a colleague approves. Once quality is proven, simpler question types can go out on their own.

3. Marketing emails

Abandoned-cart emails, welcome series and post-purchase offers are typically written well once, and then the system sends them at the right time. An important rule: advertising emails may only be sent with the recipient's prior consent, and unsubscribing must always be easy.

4. Stock and order status sync

If the webshop, warehouse and courier are separate systems, data easily drifts apart when handled by hand. Automatic sync prevents you from selling products that are no longer in stock.

Where does an MCP server come in?

MCP (Model Context Protocol) is an open standard that lets AI assistants connect to external systems securely, according to permissions. If your webshop has an MCP server, your staff can query yesterday's orders, low stock or a customer's past purchases from their own AI tools, without a separate report or login.

How to get started: four steps

  1. Assess current work. For a week, note how much time goes on what.
  2. Choose the first process. Start with one that takes a lot of time and has few exceptions.
  3. Introduce it gradually. Check the results at first, and only then leave the process to run by itself.
  4. Measure the results. Compare the time spent and the number of errors with the period before.

What to watch out for

Automation does not fix a badly designed process, it just repeats its errors faster. Clarify the process first, then automate. Always have a route for exceptions: if the system cannot decide, a person gets the case. Finally, do not forget data protection, because the GDPR also applies to personal data in automated processes.

Summary

Webshop automation pays off fastest when you start with frequent, well-defined tasks: invoicing, email handling, marketing emails and stock sync. Shoppee introduces these processes for both rental and custom webshops. See our automation service, or request an assessment.
